Use cases

What you can do with FlowRunner.

If you can build it as a Salesforce Screen Flow, FlowRunner can run it from Outlook or Gmail. Here's what other teams have built already: seven illustrative examples spanning sales, service, operations, admin configuration, and a universal pattern for any custom Flow. The list is not exhaustive — the possibilities are quite literally endless.

Install the managed package in minutes. No credit card required.

"FlowRunner was the only way to truly integrate Salesforce into our existing workflow. The plugin works so seamlessly within Outlook that our team barely even needs to log into Salesforce anymore." — Stijn Terhorst, Sales Manager, Het Nationale Theater

Two capabilities. Endless use cases.

Every pattern below is built on one of two FlowRunner capabilities, or both. Both are configured where your admin already works: inside Flow Builder.

Capability 1

Run Screen Flows from the inbox.

Your existing Screen Flows render directly in Outlook or Gmail. Declare FLR input variables in Flow Builder and FlowRunner auto-fills them with email context — sender, recipients, subject, body, thread ID, the user's identity — so each Flow opens already populated and ready for the next step.

Capability 2

Choose what shows up in the sidebar.

Override the RecordLookup Flow that ships with the managed package. Match by sender domain, recipient, subject pattern, or any custom field. Return any object — standard or custom — and vary the output per team from one Flow you own.

What other teams have built with FlowRunner.

Each use case below is a piece of a Salesforce implementation reaching users in the inbox they already work from. If the admin can build it in a Screen Flow, FlowRunner can run it from Outlook or Gmail.

Sales

Create an opportunity from an inbound email.

The lookup Flow matches the account from the sender's domain. A screen element collects amount, stage, and close date. The opportunity is created with the email thread linked as an activity — no tab-switching, no copy-paste.

Sales

Log the email to Salesforce with custom fields.

The EmailMessage record is passed in as an input variable. The user picks the related record, then edits the custom fields your org actually tracks — Category, Department, disposition codes, whatever you've added — before the activity logs.

Sales

Use Agentforce.

Full email context flows into your Agentforce qualification script. Screen elements let the user confirm BANT (or your own framework). Agentforce routes the lead to the correct queue based on the answers and the instructions you wrote.

Service

Create a case.

Subject and description pre-fill from the inbound message. A screen element lets the user confirm or edit the details before the case is logged. The Flow's decision element routes to the right queue.

Operations

Run an approval Flow.

Approval requests trigger from the email that prompted them. Requesters see the relevant record details in the sidebar and submit the approval without leaving their inbox.

Custom

Run any custom Flow your org needs.

Examples include finance close approvals, HR onboarding tasks, and custom-object workflows. If it runs in Salesforce as a Screen Flow, it runs in FlowRunner.

If it can be built as a Screen Flow in Salesforce, it can run in your inbox.

How a use case becomes real for your team.

Three steps. Built in Salesforce by the admin, picked up by FlowRunner, run from email by the user without retraining anyone on a new tool.

  1. 1

Admin builds a Screen Flow in Salesforce.

Use Flow Builder you already know. Add the FlowRunner input variables for email sender, recipients, subject, body, thread ID. Save and activate.

  2. 2

    Assign Flows to users.

From the FlowRunner admin panel, select which Flows to expose and which personas can run them.

  3. 3

    Users run it from email.

Open an email in Outlook or Gmail. The matched records and the flows are already in the sidebar. Publish a change and every user gets the new version on next load.

"Salesforce is incredibly powerful, but its biggest pitfall is that it offers too much. For users without an IT background, it can be overwhelming. FlowRunner solves this by stripping away the noise, ensuring our team only sees the information and buttons they actually need to do their job."
